RTO charges on delivered orders: how to spot and dispute them
RTO (return to origin) charges apply when a parcel is sent back to you undelivered. They are real costs on failed deliveries. They are also a classic billing error when the parcel was in fact delivered, because you then pay forward freight and a return charge for the same shipment.
Signs an RTO charge is wrong
- The freight invoice shows an RTO charge on a waybill, but the courier's own status says delivered.
- The order was COD and the courier remitted the COD amount. Money collected means delivered, so an RTO charge cannot be right.
- Your store shows the order as delivered, or the customer confirmed receipt.
How to check
- Filter your freight invoice for rows with an RTO charge above zero.
- Look up each waybill in your COD remittance reports. A payout line means the parcel was delivered.
- For prepaid orders, compare with delivery status in your store or the courier's tracking.
- List the conflicts with AWB, order ID, the RTO amount and your proof of delivery.
Disputing it
Send the courier or aggregator the list with proof of delivery (tracking status, delivery date, remittance line). Ask for the RTO charge to be reversed or credited on the next invoice, and track each item until it is recovered.
