Shiprocket weight discrepancy: how to check and dispute it

A weight discrepancy is what an aggregator like Shiprocket charges when the courier re-weighs your parcel and finds it heavier than the weight you declared. Each one is usually small, around the cost of one extra slab, but across hundreds of orders a month it adds up to real money, and many sellers pay it without ever checking.

Why discrepancies happen

  • Volumetric weight. Couriers bill the higher of actual weight and volumetric weight (length × breadth × height in cm, divided by 5000). A light but bulky box is billed on size, not on the scale.
  • Wrong product weight in your store. If a variant's weight is missing or too low, every order of that product is under-declared.
  • Packaging not counted. The box, filler and tape often add 50 to 200 g that sellers forget to include.
  • Genuine courier errors. Hub scales are miscalibrated or a parcel is weighed twice. These are the ones worth disputing.

How the extra charge is calculated

Couriers bill in weight slabs, commonly 500 g. If you declared 0.5 kg and the courier billed 1.0 kg, you pay for one extra slab at your rate card price. Tiny differences inside a slab usually cost nothing. Try your own numbers in the volumetric weight calculator.

How to check an invoice yourself

  1. Export the freight or billing CSV from your aggregator. You need the AWB, the order ID and the charged weight.
  2. Look up each order's items in your store and add up the product weights, then add your packaging weight.
  3. Work out the expected chargeable weight: the higher of dead weight and volumetric weight, rounded up to your slab size.
  4. Flag orders where the billed slab count is higher than expected. Those are your dispute candidates.
  5. Estimate the overcharge as extra slabs × your per-slab rate.

Doing this in a spreadsheet works for a few dozen orders. Past that, matching AWBs to orders by hand is where the errors and the missed money come from.

How to dispute a weight discrepancy

  • Check your aggregator's dispute window. It is usually short, so raise disputes soon after the invoice arrives.
  • Attach evidence: a photo of the packed parcel on a scale, the declared dimensions, and the product weights from your store.
  • Dispute in batches, with the AWB, expected weight, billed weight and amount in one sheet, rather than one ticket per order.
  • Fix the cause for the future by correcting variant weights in your store and keeping packaging weight consistent.
